CrewsLink ("CrewsLink," "we," "us," or "our") provides a ground transportation coordination platform designed for airlines, hotels, cruise operators, transport vendors, dispatch teams, drivers, and crew members (collectively, the "Services").

The Services include the CrewsLink Dispatcher Web Application, CrewsLink Driver Mobile Application, CrewsLink Crew Application (current or future release), and related websites, APIs, integrations, and support services.

This Privacy Policy explains how we collect, use, disclose, and protect personal information when you access or use our Services.

1. Scope and Roles

CrewsLink may operate as:

  • Data Controller for platform account, billing, and operational infrastructure data.
  • Data Processor when processing personal data on behalf of airline, hotel, cruise, or transport partners.

If you use CrewsLink through your employer or contracting organization, that organization controls how your operational data is used.

2. Information We Collect

We collect information necessary to operate airline-grade ground transportation services.

A. Account and Registration Information

  • Name
  • Email address
  • Phone number
  • Company or organization name
  • Job role
  • Login credentials

B. Operational and Trip Data

  • Pickup and drop-off locations, times, flight numbers, and booking references
  • Driver assignments and vehicle details
  • Dispatch logs, trip status updates, and timestamps
  • Crew transportation history and incident notes
  • Contract or billing references for enterprise accounts

C. Driver and Location Data (Driver App)

  • Precise GPS location (foreground and background where enabled)
  • Live location updates during active trips
  • ETA calculations, routing metadata, and trip start/stop times

Location data is used for operational coordination, safety monitoring, and service quality. Disabling location permissions may limit functionality.

D. Device and Technical Data

  • IP address and device identifiers
  • Operating system and app version
  • Crash logs, diagnostics, and usage analytics

E. Communications Data

  • Support requests
  • In-app messages
  • Email and push notification logs

F. Payment and Billing Information

For enterprise accounts, billing details may be processed. Payment data is handled by secure third-party processors. CrewsLink does not store full credit card numbers.

3. How We Use Information

We use personal information only for legitimate operational purposes, including:

  • Providing and maintaining the Services
  • Dispatch operations and crew transportation management
  • Booking confirmations, alerts, and service communications
  • Platform analytics and service improvement
  • Security monitoring and fraud prevention

We do not sell personal data.

  • Active trip data: during operational need
  • Historical booking records: typically up to 12-24 months

  • Account data: duration of relationship plus reasonable archival period

Data may be anonymized or aggregated after retention periods.

We apply technical and organizational safeguards, including encryption in transit, secure cloud infrastructure, role-based access control, authentication controls, audit logging, and continuous monitoring.

No system is fully secure, but we follow industry best practices.

Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, object, or port your data, and withdraw consent where applicable.

If you use CrewsLink through your employer, your organization may be your first point of contact for some requests.

10. Mobile App Permissions

The CrewsLink Driver App may request access to location, notifications, camera (for proof-of-service), and storage (for documentation uploads). Permissions are used only for operational functionality and can be managed in device settings.

11. Cookies and Tracking

Our web services use cookies and similar technologies for authentication, session management, analytics, and performance monitoring. You can manage cookie settings through your browser.

12. Children's Privacy

The Services are intended for professional use by authorized personnel. We do not knowingly collect personal data from individuals under 18 years of age.

13. Data Breach Notification

If a personal data breach occurs, CrewsLink will take appropriate action under applicable law and provide required notifications without undue delay.
